One Word template, one spreadsheet, a folder of finished PDFs.

What this does

Takes a Word document with placeholders like {{FirstName}} and a CSV where each row is one person, and produces one finished document per row: letters, certificates, invoices, name badges, anything you would otherwise fill in by hand.

It uses the copy of Microsoft Word already installed on your PC, so fonts, layout, and formatting come out exactly as Word would print them. Nothing is uploaded: the web page only builds a small launcher file, and the actual merge happens on your machine.

How to use it

  1. In Word, open your template and type a placeholder wherever a value should go, in double curly braces: {{FirstName}}, {{Amount}}, {{Date}}. Save it as .docx.
  2. In Excel or Google Sheets, put the column names in row 1 (FirstName, Amount, Date...) and one row per document. Save as CSV.
  3. On the MailMergeDocs page, choose the template, then the CSV. The page lists the placeholders it found and pairs each with a column. Fix any pairing that is wrong.
  4. Choose PDF or Word output, and which column should name the files. Press Download.
  5. Put the downloaded MailMergeDocs.cmd in the same folder as your template and CSV, then double-click it. A MergeOutput folder appears beside it with one file per row and a MergeSummary.txt.

Windows will warn you the first time

Because the launcher is a free, unsigned file, your browser may say it "isn't commonly downloaded" (choose Keep), and Windows may show a blue "Windows protected your PC" box. Click More info, then Run anyway. The launcher is plain text: right-click it, choose Edit, and you can read every line of what it does.

Tips for a clean merge

Your privacy Your template and your data never leave your computer. The web page reads them only to list placeholders and column names, and the merge itself runs locally in Word. Nothing is uploaded and nothing is stored on a server.

Common questions

Does this need Word installed?
Yes, the classic desktop Word (Microsoft 365 or Office 2016 and newer). Word on the web, and PCs with only the new Outlook, do not include it. Without Word the launcher stops with a clear message.
Nothing happened when I double-clicked.
Check for a MergeOutput folder beside the launcher; the black window closes itself when it finishes. If Windows blocked it, see the section on the warning above. If it says the template was not found, make sure the launcher, the template, and the CSV are in the same folder with the same names you picked on the page.
A placeholder was left unfilled.
Either its column is empty for that row, or Word could not match it because it was typed in pieces. Delete the placeholder in the template and retype it in one go.
Can I get Word files instead of PDFs?
Yes. Choose "Word (.docx)" under Options before downloading.
Does it work with Excel or PowerPoint templates?
Not yet. Word templates only for now.
Can I run it again?
Yes. Existing files are never overwritten; a new run adds (2), (3) and so on to the names.
